Add Distribution List to Data Retention Policy

Hotel Admin User Types will automatically receive an email notification when the Data Retention Policy Anonymization job runs. However, if there are other individuals that need to be notified, their emails can be added to the distribution list.

User Type & Roles

To perform this action in ALICE, the user must have at least Hotel User Admin User Type access.

Things to Consider

  • The anonymization job runs daily at 12 AM in the hotel’s local time zone. Admins should expect to receive the email up to 10 minutes after the hour.

  • The email does not include specifics about what was anonymized, only that the job was executed successfully.


  1. In ALICE Admin, Select Security & Data Privacy from the menu.

  2. Select Data Retention Policy.

  3. Select the field Email Recipients for Data Retention Policy confirmation.

  4. Enter email addresses, one per line.

  5. Select Save.
